Tempo Team is looking for an office administrator/Administrative Assistant

Description de la fonction

As office administrator, you'll ensure smooth running of activities and operations on site to secure
business efficiency
- You'll manage phone calls and correspondence (e-mail, letters, packages etc.), walk-in and
website contact form inquiries from existing community members, prospective retailers,
management, suppliers and other parties.
- You'll handle retailer's requests, complaints and other concerns according to business-specific and
JLL procedures
- You'll act as the personal assistant to the Shopping Center Manager
- You'll be responsible for submitting timely reports and preparing presentations/proposals. You'll
draft, format and print relevant documents
- You'll support budgeting and bookkeeping procedures; assists in purchase orders and invoicing;
handles expenses and billing cycles
- You'll prepare meeting agendas, attend meetings and take meeting notes when requested
- You'll assist in planning and arranging events, including organizing catering
- You'll manages our reception area (in our offices at Docks Bruxsel) and look after visitors
- We'll expect you to create and update records and databases with contacts, financial and other
data; you'll maintain retail and other office files
- You'll prepare and maintains records for team planning
- You'll assist colleagues whenever necessary, i.e. collaborate with on-site maintenance and
marketing team and external contractors to ensure that the business runs properly.
- You'll interact with the management team and carry out their request, and manage their agendas/
appointments

Tes atouts

Smart
- You'll hold a bachelor degree as management assistant, in office administration or similar.
It would be a real plus if you have professional experience in a similar function.
- You'll have fluent knowledge of Dutch, French and English, both written and spoken.
We'll expect you to be familiar with office management procedures and basic accounting principles
IT-Literate
- We'll expect you to have a good knowledge of all MS Office softwares.
Organised
- You'll be a well-organised person, able to work being accurate, fast and efficient.
Open
- You'll have a positive attitude and energizing nature.
- You'll be aware that client-servicing and an outstanding communication is of uttermost
importance.
