As Administrative Assistant, the employee will be responsible for managing and distributing information within the office including maintaining files, creating administrative document, answering phone calls,...
Being part of the Admin department, you will also provide back-up for the office assistant and receptionist during holidays and other absences.
General
- Creation of Purchase Orders, invoices and other documents in AX (ERP)
- Management of 3 mailboxes (personal, administration and shipment)
- Answering, screening and forwarding incoming phone calls
- Support on maintaining front office supplies and its stock
- Other clerical receptionist duties such as filing, photocopying, ...
- Ensure a tidy and well-arranged admininstrative office
- Support for online orders to be paid by Credit Card (laboratory standards, marketing brochures,
office material, ...)
- Maintenance of contact lists

Back up
- Support to the accounting department by receiving and redirecting slips and invoices
- Support on maintenance of the building by redirecting technicians
- Update existing guidelines and processes concerning the administration activities on
Teams/SharePoint
- Managing and archiving filing systems
- Supporting the receptionist in Liège and provide back-up during the absence of the receptionist
(welcoming visitors, book meeting rooms, receive and distribute mail, coordinate office
procedures,...)
- Reservation management of the e-car and e-bikes

Jouw aanbod

A first successful experience in administrative function of min 2 years
A good knowledge of MS Office and applications such as SAP or any ERP
Fluent in English
A good team spirit and results-oriented
Autonomous, organized and rigorous
Excellent communication (spoken & written) and interpersonal skills.
